Responsibility:

  • Prepare monthly schedule and monthly review meetings for Marketing Manager and respective Team Members.
  • Maintain marketing collateral inventory log and order supplies as needed.
  • Manage marketing store rooms and stock count
  • Assist in the coordination of monthly marketing meetings and team events.
  • Assist with diary management and coordination of team activities
  • Assist Senior Manager with office administration as required
  • Assist with the coordination of local marketing programs/projects and carry out reasonable requests from marketing team of which the employee is capable of performing.
  • Responsible for administrative duties like bill payment, meetings setup, travel coordination, calendar management, appointments and scheduling, and budget tracking
  • Assist marketing team with supply chain and procurement.
  • Support Reception Services
  • Organise campaigns with the supervision of a marketing representative
  • Assist in sourcing and preparing marketing statistics and reports
  • Document management
  • General office administration and assistance to Marketing staff
  • Assist and attend marketing events, exhibitions and promotions as required.

Requirements:

  • Diploma in Office Management or Business Administration or equivalent
  • Knowledge of finance and office administration
  • Computer literacy in MS Word and Excel
  • Excellent oral and written communication skills
  • Bilingual
  • Must be willing to travel
  • Provide and promote and efficient and friendly customer service
  • Marketing or tourism experience would be advantageous
  • Exceptional telephone etiquette
  • Ability to work independently, as well as in a team
  • Drivers Licence is essential

REQUIREMENTS :

  • Grade 12 Certificate 0-2 years’ experience in the Health Sector. 
  • Good interpersonal and communication skills. 
  • Ability to prioritize work, work under pressure and meet deadlines.

DUTIES :

  • Provide administrative tasks in accordance with the regulatory framework/ guidelines relating to general office functions. 
  • Receive, check and process documents before and after consideration by Mental Health Review Board members. 
  • Open individual user files and file documents. 
  • Track documents/ files. 
  • Maintain a register of periodic reports submitted or due and follow up overdue reports without delay. Maintain a register of quarterly reports on ECT, seclusion and mechanical restraint submitted or due and follow up overdue reports without delay. 
  • Record and file notices of emergency admission, transfer between hospital and discharges. 
  • Enter information in a record system and produce reports as required. 
  • Provide receptionist support services to the Mental Health Review Board. 
  • Record and track movement of documents in accordance with guidelines and instructions. 
  • File documents in a way which is orderly and enable easy access to information. 
  • Arrange meetings, parking and venues. 
  • Ordering of stationery. 
  • Perform administrative duties such as photocopying, faxing, postage and e-mailing of documents.
